Does HIPAA Require X-Ray Film Destruction On Site?

Understand collection and destruction
On-site collection means a team comes to your building to remove the files. On-site destruction means the destruction itself happens there; these are different services.
Ask where each step takes place when booking. Clear language prevents a staff member from expecting a destruction machine to arrive when the visit is for collection.
Look at the complete handling process
The location alone does not tell you whether patient information is protected. Consider how records are held before pickup, who receives them, and how they reach destruction.
A useful service discussion follows the files from the archive shelf to the completed job. Ask the provider to explain those steps in everyday words.
Agree on the service before pickup
A healthcare organization using a disposal business associate needs the appropriate written agreement. Settle the privacy terms and the collection details before the files leave.
Confirm which materials are included and who will answer questions on collection day. If your organization has a specific destruction-location requirement, raise it before scheduling the visit.
Keep files secure until handover
Leave approved files in their controlled storage area while waiting for the team. Moving them into a public hallway early can make the collection harder to supervise.
Have one staff contact show the team which files are approved. For a shared room, mark the approved cabinets so unrelated records remain where they belong.
Confirm what the completed job includes
California Film Recycling provides on-site boxing and removal of approved facility files, followed by sorting and secure destruction of patient information. Customers do not need to box or sort for pickup.
We provide a Certificate of Destruction after the work is complete. Call 951-822-6298 to discuss the collection process and any requirements your facility has for the job.
Quick questions
Does a pickup visit mean destruction happens at my building?
No. Confirm the destruction location separately from the pickup address.
Can our own policy require on-site destruction?
Your organization may set additional service requirements. Share them with the provider before arranging collection.
Should staff carry files to the curb before pickup?
Leave approved records in their secure storage area. California Film Recycling handles boxing and removal at the facility.
