HIPAA and Records
How Long Should X-Ray Films Be Kept Before Destruction?
X-ray film retention depends on the record requirements that apply to your facility and patients. HIPAA does not set one medical-record retention period, so the age printed on an envelope is only a starting point.

Start with your records schedule
Use the retention schedule approved for your organization. State requirements, the type of provider, and the records involved can affect when medical files may be destroyed.
Have the person responsible for records check the collection. A room containing films from several departments may need more than one retention decision.
Understand the six-year distinction
HIPAA requires certain compliance documents to be kept for six years from creation or when they were last in effect, whichever is later. That documentation rule is not a six-year disposal date for every X-ray.
Keep your patient-record schedule separate from the schedule for privacy policies and other required HIPAA documents. Using one date for both can lead to a collection being approved too soon.
Check exceptions before using a cutoff
Ask the records contact whether any files must stay because of an active request, a legal hold, or another unresolved issue. Check that before applying a broad year range to a cabinet.
For example, most folders in one drawer may be ready while a few remain in use. Identify the files to keep so the pickup team does not have to guess.
Make the approval easy to follow
Record which rooms, shelves, drawers, or existing boxes are approved for removal. Give the team a clear description such as the first two cabinets in the archive room.
Keep any undecided files out of that approval. If the list changes before pickup, update the person coordinating the visit and confirm the final collection area.
Book pickup for the approved files
California Film Recycling boxes files at your facility and handles removal and sorting. You do not need to empty envelopes or separate film from reports and CDs beforehand.
Once your records contact approves destruction, call 951-822-6298 to arrange the next steps. We securely destroy patient information and provide a Certificate of Destruction for the completed work.
Quick questions
Are all X-rays ready for disposal after six years?
No. HIPAA's six-year documentation requirement does not establish a universal retention period for patient X-ray films.
Can the recycler decide which patient files to keep?
Your organization should approve the records for destruction. The pickup team follows that approval.
Does a full storage room change the retention period?
No. Space pressure is a reason to review the archive, but it does not change the requirements that apply.
